Step 01

The Connect Session

A focused conversation. HIPPO gets a clear picture of your business, your team, and where offshore support would create the most value.

You cover your current workload, what is sitting with you that should not be, and what conditions would make an offshore role work. You leave with a written summary. HIPPO leaves ready to build the next step.

You do not need a fully formed role in mind. Many clients arrive knowing they are stretched but not sure what to hand over. The session works through that.
Step 02

The Design Session

This is where the role gets built properly, before recruitment begins. HIPPO leads the session and asks the questions. You bring the context only you have: how the work happens, what the specialist will own, what hours make sense, and what good looks like.

Within one to two business days, HIPPO delivers a written Role Blueprint. Recruitment begins on sign-off.

Most offshore hires struggle because the role was never clearly defined. The specialist arrives and no one agrees on what they are there to do. The Design Session closes that gap before it opens.

Process-driven roles

Roles built around repeatable, defined tasks. The session captures those tasks, the expected outputs, and the tools involved. Documentation follows from there.

Outcome-driven roles

Roles defined by results and judgment. The session focuses on objectives, decision boundaries, KPIs, and what success looks like over 90 days.

Step 03

Recruitment

Once the Role Blueprint is signed off, HIPPO's Philippines-based talent team takes it from there. The client does not sift CVs, manage a pipeline, or run interviews. HIPPO carries the full process and brings back a shortlist of two or three endorsed candidates.

Every candidate you meet has already been sourced, screened, interviewed, assessed, and selected from a much larger pool. Most are screened out before they come close to you.

    Sourcing

    HIPPO's talent team runs a dedicated sourcing campaign for each role. This includes paid promotion, active platform search, candidate attraction, and direct outreach where the role warrants it. The investment matches the brief.

  2. 02

    Screening

    Applications are reviewed in multiple rounds. Paper screening filters for role fit. Phone screening assesses communication and comprehension. Practical readiness is checked where relevant, including equipment, internet reliability, and work setup.

    Structured interviews

    Candidates who pass screening go through a multi-stage interview process assessing behavioural fit, situational judgment, values alignment, and technical capability. Every candidate is assessed against the same criteria for that specific role.

  4. 04

    Shortlist endorsement

    Reference checks, background checks, and ID verification are completed before the shortlist is finalised. HIPPO selects the two or three strongest candidates, provides written profiles, and explains in writing why each was chosen for this role.

Hundreds assessed. You meet two or three. By the time you sit down with candidates, the work is done.
Step 04

Meet and Greet

You meet the shortlisted candidates in short video calls. HIPPO facilitates. You make the decision.

Pay attention to how they listen and how they explain their thinking when pushed for specifics. Confidence and clarity matter more than polish.

HIPPO debriefs with you after each session. You may know after the first candidate. Sometimes it takes two or three. Either way, you are not deciding alone.
Step 05

Task Mapping

Before your specialist starts, HIPPO works with you to capture the first three to five priority tasks. You show each task once. HIPPO does the writing.

No documents to prepare and no SOPs to draft. You walk through how the work happens, HIPPO turns it into a written process, and you confirm it is right. Your specialist follows it from Day 1.

    Name the task, describe the expected result, identify the tools, and confirm what done looks like.

  2. 02

    Walk

    Walk through the task once, live or recorded. Narrate as you go. That recording becomes the foundation for the documentation.

  3. 03

    Document

    HIPPO converts the walkthrough into a written process your specialist can use daily. You review and confirm it before it goes live.

  4. 04

    Store

    Documentation is centralised so your specialist can find, follow, and build on it as the role grows.

The documentation belongs to you. If a specialist ever moves on, the work does not leave with them.
Step 06

Day 1 Kickoff

HIPPO handles contracts, payroll, and onboarding setup before Day 1. The kickoff call is yours to run. You set the tone, the priorities, and how you expect to work together. HIPPO joins to support.

Plan for 30 to 45 minutes.

  • Communication preferences and how often you expect updates
  • Tools and systems your specialist will be working in
  • First three to five tasks for Week 1
  • How completed work and updates should be sent to you
  • How to flag blockers or questions as they come up

After the call

A shared group chat with you, your specialist, and HIPPO is your main day-to-day channel. HIPPO stays in the group while things settle.

Step 07

The First 90 Days

The first weeks ask for your time in reviewing work and giving early feedback. That part is real, and it is the investment that makes the role pay off.

You are not doing it alone. HIPPO manages this period actively. Coaching and welfare check-ins run throughout, and issues are raised early, before they become patterns.

Step 08

Ongoing Support

HIPPO stays involved for the life of the engagement. Not as a helpdesk you call when something goes wrong, but as an active part of how the arrangement holds up over time.

This includes a structured coaching rhythm with your specialist, welfare management, regular performance reviews, role calibration to make sure the arrangement still fits as the business changes, and account management that knows both your business and the person in seat.

Retention does not happen by accident. It comes from ongoing involvement, and that is what HIPPO provides.
